Terms of service

1. Who these terms are between

These terms are an agreement between TeraHub ("we", "us") and the organization that subscribes to the service, together with everyone who signs in to it. By creating an account, using the admin portal or using the member app, you accept these terms.

2. The service

TeraHub provides a hosted administration portal and a member mobile application for managing members, groups, memberships, events, communications, directories and payments records.

We may add, change or withdraw individual features. Where a change materially reduces what a paid subscription provides, we will give reasonable notice.

3. Accounts and access

Each organization appoints administrators who control who may access its data and at what level. The organization is responsible for keeping that list accurate and for the actions taken by its administrators and managers.

Accounts are personal. Sign-in codes, invitation links and pairing codes must not be shared outside the person they were issued to.

4. Your data

Data your organization enters — member records, payments, content and files — remains yours. We process it only to operate the service for you, as described in our privacy policy.

You may export your data at any time. If your subscription ends, we retain the data for a limited grace period so it can be recovered, then delete it.

You are responsible for having a lawful basis to store the personal information you upload and for honouring requests from your members about their own records.

5. Acceptable use

You must not use the service to send unlawful, misleading, harassing or bulk unsolicited messages, to store content you have no right to store, to attempt to access another organization's data, or to interfere with the operation or security of the platform.

We may suspend access where use of the service puts other customers, members or the platform at risk.

6. Subscriptions and payment

Subscriptions are charged per organization for the period stated on your quote or invoice, in the currency shown, plus any applicable local tax.

Unless stated otherwise, subscriptions renew for the same period. You may choose not to renew by telling us before the renewal date.

Optional services such as data entry, content preparation or dedicated support are quoted separately and billed as stated on that quote.

Fees already paid for a current period are non-refundable except where required by law.

7. Demonstration accounts

Demonstration workspaces are provided for evaluation only. They are read-only, contain sample data, and are deleted automatically along with everything in them after the stated period.

8. Availability and support

We aim to keep the service available at all times but do not guarantee uninterrupted operation. Planned maintenance is scheduled outside busy hours wherever possible.

Support is provided through the contact channels published on this site.

9. Messages and notifications

Email and push notifications are delivered through third-party providers and depend on the recipient's device, network and settings. We cannot guarantee delivery of any individual message.

10. Liability

The service is provided without warranties beyond those that cannot lawfully be excluded. To the extent permitted by law, our total liability arising from the service is limited to the fees paid by your organization in the twelve months before the event giving rise to the claim.

We are not liable for indirect or consequential loss, including loss of profit, goodwill or data where that data could reasonably have been exported.

11. Ending the agreement

Either party may end the agreement at the end of a subscription period. We may end it immediately where these terms are seriously or repeatedly breached.

On termination, access stops and data is handled as described in section 4.

12. Changes to these terms

We may update these terms. The date at the top shows when they last changed, and material changes will be notified to organization administrators before they take effect.
